Using existing personnel and licenses, we developed Aggie Assign, a custom Microsoft Power Apps application designed to streamline development officer requests to add or remove prospects from their portfolios. This tool serves multiple stakeholders, including development officers, supervisors, portfolio strategists, and mission-specific fundraising units (Foundation & Corporate Engagement, Principal Gifts, and Regional Major Gifts). Aggie Assign was designed to simplify processes, reduce errors, and improve transparency in prospect assignments. It simplifies the request process for development officers, reduces entry errors in prospect assignments, and improves transparency and collaboration through automated approvals and notifications for key stakeholders. It seamlessly integrates and connects securely to prospect data tables, leverages Power Automate for notifications and approvals, and has a user-friendly interface that is browser-based and mobile-compatible with data-driven fields that reduce manual errors. It has also enhanced transparency with real-time notifications for supervisors and strategists that ensures full visibility into portfolio changes, increased collaboration through automated routing that fosters strategic dialogue and engagement, and is customized for unique needs to support distinct assignment parameters for each mission-specific fundraising unit. Aggie Assign has transformed our approach to portfolio management, making it more efficient, accurate, and transparent for all stakeholders.
