Connecting Data through Hubble

California Institute of Technology developed an app to centralize and streamline request intake for multiple data and business intelligence teams. Designed as a "hub" for managing incoming requests and efficiently routing data, we aptly named it Hubble—a nod to its role in bringing clarity to our workflows. Previously, requests came through various informal channels such as emails and verbal conversations, making it difficult to track, prioritize, and ensure proper handling of requests. This decentralized approach led to inefficiency and delays. To address this challenge, we built an application that acts as a hub point for all incoming requests. The application standardizes submissions, ensuring that requests are properly categorized and automatically routed to the appropriate team. By integrating with existing workflows, we created a seamless process that improves visibility and accountability while reducing manual tracking. This solution was necessary to enhance efficiency, eliminate request duplication, and provide better insights into workload distribution. With a centralized system, teams can now manage and prioritize requests based on urgency and complexity rather than relying on scattered communication. The app also allows leadership to monitor trends and identify areas for process improvement. Since implementation, the app has significantly improved tracking and response times. Teams can now focus on high-value work with confidence that all incoming requests are properly handled. The structured intake process has led to greater transparency, efficiency, and collaboration across advancement and alumni relations. By leveraging technology to solve a long-standing challenge, we have created a scalable and sustainable solution that enhances operational effectiveness.
