The content for conferences planned out of CASE's Washington, London and Singapore offices is developed by volunteers who are assisted by capable CASE professional development staff. CASE welcomes volunteer advancement professionals who can help shape conferences and serve on conference planning committees.

Conferences offered by the CASE eight districts in North America are entirely planned and executed by volunteers. Districts welcome volunteers who will not only develop programming but who might also:

  • Serve as session moderators
  • Work at the registration desk or handle on-site logistics
  • Oversee conference marketing or Web sites
  • Seek sponsors and exhibitors

Many long-time CASE volunteers started their service as district conference volunteers.

FAQ: Volunteering for a CASE Conference

Volunteering for a conference can refresh and increase your own knowledge and professional networks. Conference volunteers also play a role in nurturing the profession's deeply rooted culture of sharing, collegiality and mentoring.

Any staff member in any discipline and at any level who works at a CASE member institution or for a CASE Educational Partner who is interested in supporting institutional advancement can serve as a conference volunteer.

You are invited to volunteer for any one of the following conferences:

  • CASE Europe Annual Conference: Conference chair and planning committee
  • CASE Europe Schools Conference: Conference chair and planning committee
  • CASE Asia-Pacific conferences: Conference chair and planning committee
  • CASE conferences in North America:
    • Most conferences: Conference chair
    • CASE-NAIS: Planning committee
    • Summit for Advancement Leaders: Steering committee
    • District conferences: Opportunities vary by district but typically include:
      • Planning committee /track chair (planning aspects of the conference)
      • Session host or moderator (assisting speaker and attendees, introducing speaker, collecting feedback)
      • Registration desk (overseeing registration or checking attendees into the conference)
      • Marketing (promoting conference)
      • Sponsorships (securing conference sponsorships)
      • Exhibits (securing exhibitors and planning exhibit hall)
      • Hospitality (assisting attendees on-site or planning networking events)
  • CASE conferences in other regions: Conference chair

The degree of involvement varies among conferences and by volunteer responsibility. For conference leadership roles, it may include being available for conference calls with conference chairs and CASE staff, meeting deadlines, developing sessions and recruiting speakers. For district conference roles, it may involve recruiting sponsors and exhibitors in the months leading up to a conference or moderating a single conference session.

Deadlines are ongoing, depending on the date of a conference. Most conference agendas are developed six months before the conference date. The Summit for Advancement Leaders, the CASE-NAIS conference and district conferences have eight to 10 month development timelines.

The following guidelines apply, although specific arrangements will vary by conference:

  • Volunteers are not generally paid
  • Volunteers may receive reimbursement for travel expenses for select conferences
  • Select conferences may include complimentary registrations
