How to register

To ensure your name appears in all on-site materials, CASE must receive your registration no later than five (5) business days prior to the start date of the conference. Registration is completed and paid in full at point of sale via credit card using the links and instructions on each conference website. Your registration is complete when payment is received in full.

Alternate Payment (Invoice)

If you are unable to pay by credit card, you may request an invoice for alternate payment at CASE’s discretion by contacting the appropriate regional office below. CASE will send an invoice via email.  Please note that only credit card payments will be accepted between March 26, 2026 and September 30, 2026. Invoices will not be available during this time. 

Important: Payment must be received in full no later than 10 business days prior to the conference start date. Registrations with outstanding balances after this deadline will be canceled. Admittance to the conference requires full payment.  Please see directions for sold out conferences below should the conference sell out before payment is submitted.

Confirmations

Once your conference payment has been processed, you will immediately receive an email confirmation receipt. If you have not received an electronic receipt two weeks prior to the conference start date, send a message to [email protected] to request a confirmation.
 

Sold Out Conferences

In the event that a conference is sold out, a waitlist will be provided for attendees who have not yet registered. Attendees must be paid in full to join the waitlist. At this time unpaid invoices for registrants must be paid in full to hold their registration place. Please contact [email protected] to confirm your payment status.  CASE will make any effort to ensure that as many registrants can attend as possible.

  • Priority for paid registrations. In the event of a sell-out, preference is given to registrations that are paid in full. Registrants with an outstanding balance must pay by the waitlist deadline or risk losing their place to the next person on the waitlist.
  • Waitlist notification. Registrations must be paid in full to join the waitlist. As places become available, waitlisted attendees will be notified by email. CASE will notify all waitlisted attendees of their final status at least one week before the conference start date. If a spot does not open up, waitlisted attendees will be refunded for their registration fee.
  • Do not book nonrefundable travel until your registration is confirmed. CASE is not responsible for any travel costs or cancellation fees incurred.
  • Refunds for waitlisted attendees. If a waitlisted attendee is not moved off the waitlist, CASE will issue a full refund of any registration payment received.
     

Prior to your arrival

  • Accommodation and Travel
    Please always check the individual event page for specific accommodation and travel guidance. 

    For the majority of conferences CASE negotiates a special hotel rate for conference attendees; housing and travel is not included in your conference registration fees. You are responsible for making your own hotel and travel arrangements.  Make your reservations promptly to ensure room availability at the discounted rate. 

    Occasionally, room blocks fill before the hotel deadline, although the hotel may have additional rooms at a higher rate. If the conference headquarters hotel is completely sold out, please plan for alternative lodging.

    Book hotel rooms directly through the booking link on the CASE conference website to avoid scams from third party sites.
  • Dress code
    Most conferences are business dress. Attendees will be notified where there are exceptions in pre-conference communications.

Cancellation Policy

Online Offerings:

Paid registrants who cancel their attendance at any time prior to the beginning of an online offering, CASE will issue a 100% registration credit that can be used within 12 months of the date of the event by anyone at the institution for any CASE program. Requests for cancellation must be emailed to [email protected].

In-Person Events:

All cancellation requests must be submitted in writing to [email protected]. Approval for credits will be based on the cancellation schedule below. 

21 or more calendar days out:         
100% registration credit, valid for 12 months from the event date, usable by anyone at the institution for any CASE product or service.

8–20 calendar days out:   
50% registration credit, valid for 12 months from the event date, usable by anyone at the institution for any CASE product or service. Remaining balance is forfeited.

7 calendar days out or fewer:    
No credit issued. All registration fees are forfeited.

No-show:
No credit issued. All registration fees are forfeited.

Registration Transfers: Transfers of a registration to another individual within the same institution are permitted at any time prior to the conference start date at no charge. Contact [email protected] to arrange a transfer.

Refunds: Cash or credit card refunds are not issued for cancellations. All credits are applied as registration credits per the schedule above.

Travel Related Cancellations: Refunds or credits will not be awarded outside of the cancellation schedule listed above based on airline or weather related issues. 

Exceptions: Exceptions to this cancellation policy may be made at CASE’s sole discretion. Requests for exceptional consideration should be directed to [email protected].

 

Cancellation or Postponement by CASE

If CASE cancels or postpones a conference or online offering, CASE will automatically issue a 100% registration credit valid for 12 months from the event date and usable by anyone at the institution for any CASE program.

In the event of a cancellation or postponement by CASE, all registrants will be invited to consider donating their registration credit back to CASE in support of its ongoing charitable and educational mission.
