Know Before You Register

Please read the following important information as you begin to prepare for your departure to the institute. On this page you'll find information about registration (and what's included), accommodations, what to bring, traveling to Burlington, arrival and on-site information and more.


Registration and What's Included

The institute registration fee includes:

  • Institute program
  • Attendee pack, including program journal and water bottle
  • Accommodations at the University of Vermont Residence Halls (Sunday-Thursday)
  • Lunch (Monday-Wednesday)
  • Breakfast (Monday-Thursday) 
  • Networking reception on Sunday
  • Dinner cruise on Wednesday
  • Shuttle bus access to downtown Burlington

Additional services available for an extra charge (pay on site):

  • UVM gym access ($8/day or $30/five-day pass, cash, check or credit card, American Express or Visa)
  • Parking on campus for those not staying in the residence halls ($4/day or $12/week, cash or check)

Summer Institute participants commonly report that meeting on a college campus and staying in residence halls adds immensely to the experience. That said, it is important to note that the services and amenities provided differ significantly from those normally offered by hotels.


Housing

As part of your registration fee, you will receive a four-night stay at the University Heights Complex. Each attendee will stay in a private room with air conditioning and share a semi-private bathroom and shower facility. Rooms will be filled on a first-come, first-served basis determined by the date CASE receives registrations. Be sure to let CASE know in advance if you require any special accommodations due to physical limitations.

Due to liability limitations, guests not affiliated with the institute are not permitted to stay in the UVM residence halls. If you must bring additional guests with you, it is recommended you stay off site. Please notify CASE staff in advance if you do not plan on staying in the residence halls.

Residence hall life is very different than hotel life.
Though linens and towels are provided, many amenities are not (refer to the What to Bring section for a comprehensive list of items you may want to bring with you to Burlington.)

You are responsible for your own room key and will incur any charges for lost keys. The UVM Conference & Event Services Department agrees to provide each guest with one (1) room key and one (1) residence hall access card at check-in. If keys and/or access cards are not returned at check out, a fee of $55/room key and $10/access card will be charged to the participant.


What to Bring

Attire
Casual dress is appropriate for the entire institute, including shorts, t-shirts and sandals. The average July high temperature in Burlington is 78° F and low is 58° F, so please pack accordingly. Note that meeting rooms and residence halls may be chillier than expected, so it is recommended you bring a sweater or a jacket for the day and warm pajamas for evening.

Area restaurants do not require a coat or tie, though you may want to pack business casual attire for the dinner cruise. Remember to bring layers as it may be chilly in the evening on Lake Champlaign.

Additional items for those staying in the residence halls
Below is a list of recommended items to bring.

  • ALL personal toiletries, including soap and shampoo
  • Bath towels/bathrobe. Although a towel is provided in your room, you may want your own full-size towel.
  • Additional linens for twin bed and extra pillow. Although sheets and one pillow are provided, you may want to bring your own.
  • Additional blanket (note that air conditioners CANNOT be turned down)
  • Warm pajamas (the air conditioning in the residence hall may be cool)
  • Sweater (the air conditioning in the Davis Center may be cool)
  • Rain gear and/or umbrella (walking is required rain or shine)
  • Alarm clock (there is no wake-up service)
  • Comfortable shoes or sneakers
  • Cool and casual/semi-casual clothing
  • Shower shoes. You may be sharing a shower with another attendee.
  • Portable iron

Arrival and On-Site Registration Information

Once you arrive on campus, you will have to check in at the residence halls if you are staying there and/or need a parking permit, then check in at a second location for the institute. The following instructions are designed to help you navigate through this process.

Participants must check out of the residence halls by 2:00 PM on Thursday. Instructions on checking out will be given on site.

Recommended arrival procedure
Residence hall/parking permit check in (Sunday, NOON-3:30 PM)
Located at the University Heights North Complex, 30 University Heights Road on the University of Vermont Campus.

  1. Look for "Residence Hall Check-in" signs. A UVM representative will be on hand to direct you to the University Heights Residence Hall.
  2. Unload your luggage and proceed to the residence hall and check-in at the registration desk. You will receive a residence hall key and/or parking permit. Parking permits are free for those staying in the residence halls.
  3. Drop off all belongings in your room. If applicable, park your car in the Gutterson Garage.

Summer Institute check in (Sunday, NOON-3:30 PM)

  1. Walk to the Dudley H. Davis Center located on Main Street (approximately two blocks). Note that you will receive a campus map once on site and signs will be posted in order to direct you on campus. Be sure to bring any items you may need for the afternoon with you if you do not plan on heading back to your room.
  2. The registration desk is located on the fourth floor of the Davis Center. Check in to receive your name tag and institute materials.
  3. The opening session will begin promptly in the Davis Center at 3:30 PM.

For those who are not staying in the residence halls BUT do need parking permits

  1. To receive a parking permit, go to the University Heights North Complex, 30 University Heights Road on the University of Vermont Campus. Parking permits will be available for $4/day or $12/week. Please note that parking is free on weekends so your permit must be placed in your car by Sunday evening in order to avoid a ticket on Monday morning. Driving directions are located at http://www.uvm.edu/about_uvm/maps_directions.
  2. Proceed to the Davis Center, 590 Main Street, to check in for the institute.

For those who are not staying in the residence halls and do not need parking permits
You do not need to check in at the University Heights residence halls. Proceed directly to the Davis Center, 590 Main Street, to check in for the institute. Driving directions are located at http://www.uvm.edu/about_uvm/maps_directions.

For those who arrive after 3:30 PM on Sunday, you have two options:

  1. RECOMMENDED if you have luggage or a car: Proceed directly to the University Heights North Complex, 30 University Heights Road, to check in to your room and pick up a parking permit, then head to the Davis Center to check in for the institute. The main desk will be open from 7:00 AM-10:00 PM. If you will be checking in after 10:00 PM, go to the University Heights North Complex. Use the emergency phone to contact the on-call housing assistant (the phone number will be posted on the door), who will check you into the residence hall.
  2. Proceed directly to the Davis Center to check in for the institute and attend the current session going on (check in to your room later).

Additional Information and Requests

Emergency number
Incoming emergency calls should be made to 802-656-3473. This is the number of the University of Vermont's Police Service's Department. Phones will be answered 24 hours a day. Please give this phone number out with care as it should be used only in emergency situations.

Medical aid
UVM does not maintain a health center. Attendees are responsible for all applicable fees for medical services or treatment received.

Emergency care treatment is available at Fletcher Allen Health Care (FAHC), which is adjacent to UVM's Central Campus, off Colchester Avenue in Burlington. FAHC is a major tertiary care center. In an emergency, call UVM Police Services (656-FIRE) or 911 to dispatch an ambulance.

Internet access
There are numerous computer stations available throughout the Davis Center during normal business hours for attendees to check email, as well as one computer for attendees to print out session materials.

For those attendees who wish to bring their own laptop, information regarding Internet access will be provided in an email immediately preceding the institute.

Session materials
Session materials will be available for download to registered institute attendees prior to the conference. Attendees will receive an email from CASE with specific instructions on how to download materials. Institute notebooks will not be provided on site in order to support CASE's social responsibility efforts and UVM's environmental stewardship.
